If KeenOut cancels
A confirmed A$0 meetup has its free entitlement restored automatically under the launch setting. A paid meetup receives the configured full refund or credit. Records, notifications and an audit event are updated without requiring a support request.
If you cancel early
The cutoff is shown for the meetup. The launch configuration may restore a free entitlement after an early genuine cancellation; paid refunds or credits follow the displayed meetup terms. Repeated reserve-and-cancel patterns may trigger proportionate promotion checks. Replacement is attempted only when it preserves group quality.
Late cancellation
A late cancellation generally leaves a free entitlement consumed and a paid coordination fee non-refundable because the group and logistics have already been committed. The exact outcome follows the configuration and mandatory consumer rights.
No-show
A no-show leaves the introductory offer consumed by default, lowers a private reliability signal and may add future confirmation requirements. Repeated no-shows can result in temporary participation restrictions or manual review; numerical reliability scores are never public.
Event or group does not form
You are not charged. An unconfirmed free entitlement remains available. KeenOut does not lower its group-quality threshold merely to form an event.
Payment disputes
Contact support with the meetup and payment reference. Food, drinks, tickets and venue purchases are not KeenOut charges and must be addressed with the relevant provider.
Coupon cancellations
Coupon restoration follows the code’s configured policy. KeenOut-caused cancellations normally release an eligible redemption where allowed; early user cancellation is configurable, while late cancellation and no-show normally leave it used.
Final confirmation and released places
The same-day final confirmation is separate from joining a pool, the original confirmation and payment. If the deadline is missed, KeenOut sends a reminder and applies configured reliability-aware grace before deciding whether to release the place. An early cancellation is preferred and may restore an eligible offer where configured. A normal no-show is not automatically refunded.
